Baby Shower Planning Checklist for GTA Hosts

A baby shower should feel relaxed and joyful for the parent-to-be, which means the planning has to happen quietly in the background. For GTA hosts, that might mean coordinating relatives across several cities, booking a community centre room or restaurant, choosing a theme and colours, planning food for a mixed crowd and making sure the guest of honour, who may be very pregnant, is comfortable throughout. It's a lot to juggle, and a checklist helps.
If you've offered to host a baby shower and want it to feel relaxed for the parent-to-be, here's a checklist from eight weeks out to the day itself. To plan a baby shower, set the date around the parent-to-be's comfort, confirm the guest list and venue eight weeks ahead, choose a theme and book balloon décor, send invitations five to six weeks out, plan food and a few games and keep the day short and comfortable.
1. Eight weeks out: the basics
Confirm the date with the parent-to-be, ideally when they'll be comfortable travelling and sitting for a few hours. Agree on the guest list: close friends and family only, or a larger celebration with colleagues and extended family. Then book the venue. Popular options in the GTA include homes, restaurant private rooms, community centre rooms and banquet hall party rooms.
Set a budget, and if several people are co-hosting, agree on how costs will be shared.
If the shower is a surprise, involve the parent-to-be's partner so the date doesn't clash with appointments, and plan a believable reason to bring them to the venue. Many parents-to-be prefer to know about the shower, though, so they can invite friends and rest beforehand.
2. Seven weeks out: theme and décor
Choose a theme and colour palette. Soft palettes like sage and cream, blush and gold or powder blue are popular, as are themes like teddy bears, "Oh Baby", clouds and stars or a favourite storybook. Book balloon décor early; a balloon garland or arch behind the gift table or the parent-to-be's chair creates the main photo spot. See balloon arch colour palettes.
3. Six weeks out: invitations and registry
Send invitations five to six weeks before the shower, with the registry link if the parents-to-be have one, an RSVP deadline and any notes about the theme. Digital invitations make it easy to reach relatives across the GTA and abroad. See our digital invitation design guide.
4. Four weeks out: food and activities
Plan food for the time of day: brunch, lunch or afternoon tea. Showers often have a mixed crowd, so include a range of options and ask about dietary needs. Choose two or three games or activities, such as guessing the baby's due date or weight, a message-for-baby card or a onesie decorating station. A photo booth or photo spot keeps guests entertained between activities.
5. Two weeks out: confirm details
Chase RSVPs, confirm numbers with the venue and caterer and confirm delivery and setup times with décor and rental vendors. Buy favours, game supplies and anything you need for the gift table. Plan who will help on the day: someone to greet guests, someone to manage food and someone to record gifts.
6. The week of
Confirm the final timeline with the venue and vendors. Prepare a gift list template so someone can note who gave what, which makes thank-you notes much easier. Pack a host kit: pens, tape, scissors, a lighter for candles, napkins and wet wipes. Plan comfortable seating for the parent-to-be, with a cushion and easy access to water.
7. On the day
Arrive early to meet vendors and set up. Keep the schedule loose: welcome and food, a game or two, gift opening, cake and photos. Watch the guest of honour for signs of tiredness and keep things moving. Photos with grandparents-to-be and close family are worth capturing early, before the afternoon gets busy.
8. After the shower
Send the parents-to-be the gift list for thank-you notes, share photos with guests and thank everyone who helped. If you used a photo or audio guest book, it makes a lovely addition to the baby's keepsake box. See our baby shower photo booth ideas.
Most importantly, keep the parent-to-be at the centre. If they'd prefer a smaller gathering, fewer games or a co-ed party, follow their lead. The best showers feel like a celebration of them, not a list of things to get through.
Example: hosting with three co-hosts
Say you're co-hosting your best friend's shower with her sister and two cousins. In week one, agree the budget and split it four ways, and decide who handles what: venue, food, décor and invitations. Use one shared document with every booking and deposit. Two weeks out, confirm numbers and dietary needs. On the day, one co-host greets guests, one runs food, one records gifts and one looks after the guest of honour. Everyone knows their role.

Frequently asked questions
When should a baby shower be held?
Often between about 28 and 36 weeks of pregnancy, when the parent-to-be is comfortable but not too close to the due date. Some families hold a welcome party after the birth instead.
Who usually hosts the baby shower?
Traditionally a close friend or family member, though many parents-to-be now co-host. Customs vary between families and cultures; follow what feels right for yours.
How long should a baby shower last?
About two to three hours is typical, which allows time for food, a few games, gift opening and photos without tiring the guest of honour.
