A fiftieth or sixtieth birthday is a celebration of a life so far: family, friendships, careers and the people who've shared them. In the GTA, these parties take many forms, from a banquet hall dinner in Brampton or Vaughan with a DJ and a hundred guests, to a restaurant celebration in Toronto, to a backyard party in Mississauga organized by the grown-up kids. They often bring together people from every chapter of the guest of honour's life, which makes them both meaningful and a little complicated to plan.

If you're planning a 50th or 60th birthday, surprise or not, here's how to plan it in the GTA, from guest list and venue to speeches, slideshow and keepsakes. To plan a 50th or 60th birthday party, decide early whether it's a surprise, build the guest list from every part of the guest of honour's life, book the venue about three months ahead, plan speeches and a slideshow and choose entertainment and keepsakes that suit every generation.

    1. Surprise or not?

Decide this first, because it shapes everything else. A surprise party needs a trusted co-planner, a believable reason to get the guest of honour to the venue and careful handling of the guest list. A planned party lets the guest of honour choose the venue, menu and music. If you're unsure, ask their spouse, sibling or closest friend.

    2. Build the guest list

Milestone birthdays bring together family, childhood friends, university friends, colleagues past and present, neighbours and community members. Build the list by life chapter so nobody important is forgotten. For out-of-town or overseas guests, send a save-the-date early.

If you're planning a surprise, create a private group chat or email list for guests with clear instructions: arrival time, parking, where to hide and what not to post on social media before the big moment. Remind guests the day before, too.

    3. Choose the venue

Book the venue about three months ahead, longer for popular summer and December dates. For large parties, banquet halls in Brampton, Vaughan, Mississauga and Scarborough offer space and catering; for smaller parties, a restaurant private room or a backyard works well. Check what's included: tables, catering, AV for a slideshow and parking.

    4. Plan the programme

A milestone party usually has a short programme:

    • A welcome from the host
    • Speeches from a spouse, children or close friends
    • A slideshow of photos through the decades
    • A toast and cake

Keep speeches short; three or four speakers at a few minutes each works well. Collect photos for the slideshow early, from family and friends, and test it on the venue's screen before the night.

    5. Theme and décor

Popular themes include the decade the guest of honour was born, "aged to perfection", black-and-gold glam or their favourite place or hobby. Balloon décor, a backdrop for photos and centrepieces with old photos make the room feel personal. Decor that doubles as a photo spot gets the most use.

Ask the guest of honour's oldest friends to share a story in the slideshow or a short video message. Recorded messages from people who can't attend, such as relatives abroad or old friends who've moved away, are often the most emotional moments of the night.

    6. Entertainment and photo booth

Choose entertainment that suits the crowd. A DJ playing music from the guest of honour's favourite decades fills the dance floor. A photo booth with prints gives every guest a keepsake and captures groups from every part of their life. A then-and-now template with a childhood photo is a favourite. 7. Keepsakes and messages

Ask guests to bring a written memory, or set up a photo or audio guest book where they can leave a message. Grandchildren's drawings, a memory jar or a book of letters from friends make lasting gifts. These often mean more to the guest of honour than anything else at the party.

    8. Final weeks and the day

Confirm numbers, vendors and timings two weeks out, and share the run of show with everyone involved. On the day, give a trusted helper the vendor list so you can enjoy the party. For a full timeline, see our 12-week event planning timeline.

Remember to celebrate in a way that suits the guest of honour. Some people love a big party with dancing; others prefer a long dinner with close friends. The best milestone parties reflect who they are.

Example: a surprise 50th in a Mississauga restaurant

Say you're planning a surprise 50th for your partner in a Mississauga restaurant's private room, with 60 guests. Ask a close friend to be co-planner. Create a private group chat for guests with the arrival time, the hiding plan and a reminder not to post anything. Book a photo booth with a then-and-now template using a photo from their twenties, and place it near the door to capture the moment they walk in.

When to bring in a rental company

Book your photo booth and décor once the venue is confirmed, about two to three months ahead for popular dates.

    Frequently asked questions

Should a 50th birthday be a surprise party?

Only if you're confident the guest of honour would enjoy it. Some people love surprises; others would rather help plan. When in doubt, ask a spouse or close friend.

How far ahead should we plan a 60th birthday party?

About three months for most parties, longer if you're booking a popular venue on a summer or December weekend, or inviting guests from out of town.

What entertainment works for a 50th or 60th birthday?

A DJ or playlist, a slideshow of photos through the decades and a photo booth with prints are popular. Choose what suits the guest of honour's personality.
