Digital Invitation Design: A Guide for GTA Parties and Events

Most GTA invitations now arrive on a phone. A beautifully designed image dropped into a family WhatsApp group, a text to the parents in a child's class or an email to colleagues has replaced the printed card for many parties, and for good reason: it's faster, cheaper, easier to update and simple to forward to the cousin who wasn't in the group chat. But a digital invitation still has to do everything a printed one did: set the tone, share the details clearly and get people to reply.

If you're about to invite guests by WhatsApp, text or email, here's how to plan a digital invitation that looks good on a phone and gets people to reply. A good digital invitation states the who, what, when and where clearly, matches your theme and colours, is sized for phones and messaging apps, includes a simple way to RSVP and goes out three to eight weeks before the event.

    1. What to include

Every invitation needs the essentials, in this order of importance:

    • Whose celebration it is and what it's for
    • Date and start time (and end time, if relevant)
    • Venue name and full address
    • How to RSVP, and by when
    • Dress code or theme, if there is one
    • Any key notes: parking, gifts, kids welcome or adults only

Keep the wording short. Long paragraphs don't read well on a phone.

If your event has special instructions, such as a surprise party, a dress code or a cultural custom, put them on a second card or in the message that accompanies the invitation. The main design stays clean, and guests still get the details they need.

    2. Design for the phone screen

Digital invitations are mostly viewed on phones, often in a messaging app preview. Design with that in mind:

    • A vertical layout that fills the screen
    • Large, readable text for the key details
    • High contrast between text and background
    • Important information away from the edges, where apps may crop

Check the design on your own phone before sending.

    3. Match your theme

The invitation is the first glimpse of your event. Use the same colours and style you'll use for the décor, cake and photo booth template. If you're planning a balloon arch, the invitation can set the palette. See our balloon colour palette ideas for inspiration.

    4. Language and audience

Many GTA families send invitations to relatives across generations and countries. Consider:

    • A bilingual invitation with key details in both languages
    • Clear dates written out ("Saturday, June 13") to avoid confusion between date formats
    • Time zones, if inviting relatives abroad to a livestream

Send all non-English text typed out, and have someone proofread it.

    5. RSVPs that actually work

Make replying easy. Options include replying to the message, a simple online form or a QR code linking to an RSVP page. State a clear RSVP deadline, and plan a friendly reminder a week before it. Accurate headcounts help with catering, seating and rentals like snack machines and photo booths.

Keep a simple tracking list of who you've invited, how you sent the invitation and who has replied. With digital invitations spreading through group chats and forwards, it's easy to lose track of who actually received the details.

    6. How to send it

    • WhatsApp or text: Best for family and friends. Send individually or to a group.
    • Email: Best for colleagues and formal events.
    • Social media: Fine for casual gatherings, but not for private details like your home address.

Keep the address and personal details out of public posts.

    7. Timelines

    Event When to send
Kids' birthday Three to four weeks before
Shower or engagement Four to six weeks before
Milestone birthday or anniversary Six weeks before
Wedding or multi-day celebration Six to eight weeks, plus an earlier save-the-date

Allow time for design and revisions before your send date.

    8. Working with a designer

A designer can create a custom invitation from your theme, colours and wording, with a round of revisions to get it right. Have your details confirmed before design starts, since changing the venue or date after the design is finished takes extra time. LUNO quotes invitation design based on complexity, customization and the number of designs, with packages for single designs or several event cards.

Once the invitation is out, save a copy for your own records and for any signage. The same design can be adapted for a welcome sign, a menu card or a thank-you message after the event, giving everything a consistent look.

Example: an invitation for a 50th in two languages

Say you're inviting 120 guests to your mother's 50th at a Brampton hall, including relatives in India and the UK. Send the designer the details, your colours and the text in English and Punjabi, typed out. Ask for a vertical design that reads well in a WhatsApp preview, with the date written out in full. Send it six weeks ahead, set an RSVP date three weeks before and send a reminder a week before that.

When to bring in a rental company

Reach out once your date, venue and theme are confirmed, ideally a couple of weeks before you plan to send the invitation.

    Frequently asked questions

What file format will I receive for a digital invitation?

Usually an image sized for phones and messaging apps, and sometimes a PDF or a short animated version. Ask your designer which formats are included; LUNO confirms formats when you book.

How far in advance should I send digital invitations?

Three to four weeks for most parties, six to eight weeks for weddings and big milestone events, and longer if guests are travelling.

Can the invitation match my party décor?

Yes. Share your colours and theme, and the invitation can set the look for your balloons, photo booth template and cake.
