Schools and parent councils across the GTA run a surprising number of events each year: spring fun fairs, family movie nights, winter carnivals, multicultural nights, year-end celebrations, staff appreciation dinners and fundraising galas. A photo booth fits many of them, giving families a fun activity and a keepsake, and, at galas and fundraisers, a way to add value for sponsors and ticket buyers.

If you're on a parent council or school committee planning a fun fair, multicultural night or gala, here's what to know about booking a photo booth for a school event or fundraiser in the GTA. For a school event photo booth, get school or board approval first, follow the school's media consent rules, choose a booth that suits the crowd, add sponsor or school branding and plan how the booth supports your fundraising goal.

    1. Get approval and paperwork sorted

Schools and school boards have rules for outside vendors. Before booking, check:

    • Whether the school or board needs to approve the vendor
    • Insurance requirements and certificate deadlines
    • Any vendor registration or background-check requirements
    • Rules for events held on school property after hours

The school office or principal is usually the place to start. For events held off-site, such as a gala at a banquet hall, the venue will have its own requirements too.

Schools take student privacy seriously, and many have media consent policies that limit how students' photos can be shared. Talk to the principal about the right approach:

    • Prints only, with no online sharing for student events
    • A private gallery shared only with families who attended
    • Digital sharing directly to parents' phones rather than public posts

For adult events like galas and staff dinners, normal sharing is usually fine.

    3. Choose the booth for the event

    Event Recommended booth
Family fun fair or carnival Digital booth with prints
Multicultural night Digital or 360 booth
    Year-end celebration Digital booth
Fundraising gala Mirror or 360 booth
Staff appreciation dinner Digital or mirror booth

For events with lots of young kids, a digital booth with prints is simplest and safest. For adult galas, a 360 or mirror booth adds glamour.

Volunteers make school events run, and the booth is no exception. Even with a professional attendant, a parent volunteer beside the booth can help with lines, guide families and remind people about the guest book or donation box. Brief them on the plan and share the attendant's name before the event.

    4. School and sponsor branding

Use the template to tell the story of the event: the school name, event name and year. For fundraisers, sponsor logos on the template or 360 end frame give sponsors visible value, since every photo carries their name home. Check that the school permits use of its crest or logo before including it.

    5. Fundraising ideas

A booth can support fundraising in several ways:

    • A sponsor covers the booth cost in exchange for branding
    • Prints are included in a premium ticket tier
    • A small fee per print or session, with proceeds to the school
    • A silent auction item, such as a booth package for a family's own party

Check your school board's fundraising rules before charging for booth access. LUNO quotes school events per booking; ask for a formal quote your committee can approve.

    6. Kids and safety

At family events, the booth will be busy with excited children. A professional attendant keeps the line fair, helps younger kids with props and makes sure groups are supervised. If you choose a 360 booth, the attendant limits the number of kids on the platform and keeps the buffer zone clear. See our 360 booth safety guide.

For adult galas held off-site, the booth can become part of the evening's entertainment. A 360 booth near the dance floor or a mirror booth near the silent auction tables keeps guests mingling and gives sponsors an extra moment in the spotlight.

    7. Gyms, halls and cafeterias

School events often take place in gyms, cafeterias or libraries. These spaces usually have plenty of room, but power outlets can be far from the best spot, and floors may need protecting. Ask the custodian or school office where the booth can go, where the nearest outlet is and when setup can start.

    8. Multicultural and community nights

Multicultural nights are a wonderful fit for a booth. Families come dressed in traditional clothing, and a booth captures that diversity in one album. Consider a template with "Welcome" in the languages spoken at your school. For more ideas, see our guide to cultural celebration photo booths.

Example: a multicultural night in a Scarborough school gym

Say your school council is running a multicultural night in the gym, with families coming in traditional dress. First, confirm the school's media consent policy with the principal; it may mean prints only, with no online sharing. Choose a digital booth with a template that says "Welcome" in the languages spoken at your school. Place it near the stage, and ask a parent volunteer to help the attendant manage the line. Families leave with a print showing their outfits.

When to bring in a booth company

Reach out once the event date is set and the school has approved outside vendors. Spring is busy with fun fairs, galas and graduations, so book early.

    Frequently asked questions

Can a photo booth raise money at a school fundraiser?

It can. Some committees sell booth access, add prints to an event ticket or find a sponsor to cover the booth. Check your school board's fundraising rules first.

What paperwork do schools need from a photo booth vendor?

Often a certificate of insurance and sometimes vendor registration. Requirements vary by school board and venue, so ask the school office early.

How do we handle photos of students?

Follow your school's media consent policy. Some schools limit online sharing of student photos; prints or a private gallery may be more appropriate.
