Corporate Event Photo Booths in the GTA: Branding, Engagement and Value
The LUNO Events Team
Published · Updated · 5 min read
Corporate events in the GTA have a lot of competition for attention. Staff arrive tired after a long week, clients have three invitations for the same night and the networking portion of the evening can feel stiff. A well-planned photo booth changes that. It gives people a reason to gather, loosens up a room, produces content your marketing and HR teams can use and puts your brand on every photo that leaves the building.
If you're responsible for a corporate event anywhere in the GTA and want a booth that earns its place, here's how to plan it, from a Mississauga office party to a downtown Toronto client gala. For a corporate event photo booth in the GTA, match the booth to your goal, brand the template and backdrop, schedule it around your programme, plan how content will be shared and used and sort out venue paperwork early.
1. Start with the goal
| Goal | Best booth |
|---|---|
| Staff appreciation or holiday party | Digital booth, or a 360 for energy |
| Client event or gala | Mirror booth or 360 booth |
| Product launch or brand activation | 360 booth with branded overlay |
| Conference or trade show | 360 booth to draw foot traffic |
| Recruitment or employer branding | Digital or 360 booth with shareable content |
Knowing the goal shapes everything else: the booth, the branding and how you'll use the photos. For launches and activations, see our guide to branded 360 booth activations.
Guest count and event length matter too. A two-hour cocktail reception for a hundred guests needs a fast booth with a short line; a four-hour gala with dinner can support a 360 and a print booth side by side. Share your expected attendance and run sheet when you request a quote.
2. Brand it properly
A corporate booth should look like part of your event, not a rental parked in the corner:
- Logo and colours on the template or 360 overlay
- A branded backdrop or step-and-repeat
- Props tied to your brand, product or team names
- An end frame on 360 clips with your logo and message
Keep text minimal so it reads on a phone. Send vector logos and brand guidelines with your booking.
3. Schedule it around the programme
Corporate events have agendas: arrivals, networking, speeches, awards, dinner and an after-party. Open the booth during arrivals and networking, pause it for speeches and reopen afterwards. Ask your MC to mention the booth when the programme ends, which is reliably when the line fills.
For staff events, consider a theme that ties into your year: a milestone, a successful launch or a new office. A booth template with "Celebrating 25 Years" or "Thank You, Team" makes the photos feel personal rather than generic. For client events, a polished look with a clean backdrop is usually more appropriate than novelty props.
4. Plan the content
Decide before the event how you'll use the photos:
- Internal newsletter or intranet recap
- Company social media channels
- Recruitment pages and careers content
- Sponsor reporting for conferences
Agree on who receives the gallery and how quickly. A next-morning email to staff with the gallery link keeps the goodwill going.
5. Privacy and consent
If you'll collect guest emails at the booth or use photos in marketing, involve your privacy or legal team. Canadian privacy law applies to personal information, and many companies have their own consent practices for images. Simple signage near the booth explaining how photos will be used is a good start.
6. Venue logistics
GTA corporate venues range from office lobbies to hotel ballrooms and downtown event spaces. Each has its own requirements: after-hours access, loading docks, freight elevators, security registration and insurance certificates. Ask your venue for its vendor requirements and share them with your booth company early.
If your company has offices in more than one GTA city, the same booth company can cover each location's events with consistent branding. That's useful for organizations with sites in Mississauga, Vaughan and downtown Toronto that want each party to feel like part of one company celebration.
7. Paperwork and approvals
Corporate bookings often need a formal quote, purchase order, vendor setup forms, a certificate of insurance and an invoice. Request these at the start so approvals don't delay your booking. LUNO quotes corporate bookings per event; ask for a formal quote and insurance details when you book.
8. Make it inclusive
Place the booth where everyone can reach it, including guests using mobility aids. Keep a chair nearby, offer props that suit all comfort levels and make sure the attendant invites quieter colleagues in. A booth that brings different teams together in one photo is doing its job.
Example: getting a booth through procurement
Say your company needs three quotes and a vendor setup form before anything is booked. Send the booth company your date, venue, guest count, brand files and the procurement requirements in one email, and ask for a formal quote, an insurance certificate and whatever vendor details your accounts team needs. Hold the date with a deposit as soon as approval comes through, because December fills quickly. Agree on branding and the run of show a month out. The paperwork takes longer than the booth, so start early.
When to bring in a booth company
Reach out once your venue and date are confirmed, with your brand files and run sheet. December dates across the GTA go quickly, so book holiday parties early in the fall.

Frequently asked questions
How do we measure the value of a corporate photo booth?
Look at how many guests used it, how many photos and clips were shared and how the content performed on your internal and social channels. Agree what you want to measure before the event.
Can we use the booth photos in our marketing?
Usually, with care. Let guests know photos may be used, follow your company's consent practices and get approval for any images of identifiable people before using them in advertising.
Do you work with event planners and agencies?
Yes. Many corporate bookings come through planners. Share the planner's contact and we'll coordinate directly on branding, timing and venue access.
