How to Choose a Photo Booth Company in the GTA: 10 Questions to Ask

Searching for "photo booth rental near me" in the GTA brings up dozens of companies, from one-person operations with a single booth to larger teams running several 360 booths on the same Saturday. Their websites look similar. Their photos look similar. The differences show up on the night: who arrives on time, whose printer jams, whose attendant keeps the line moving.

If every photo booth website you visit looks the same, these ten questions show the real differences between companies before you sign. They work whether your event is in Brampton, Mississauga, Vaughan or Toronto. The right photo booth company answers clearly about attendants, insurance, backups, design, sharing, timing and cancellation, and puts those answers in writing.

    1. The people running your booth

Question 1: Who will be the attendant, and how many events have they run? The attendant shapes the whole experience. You want someone who's confident with the equipment and comfortable chatting with guests of all ages.

Question 2: Will the attendant stay for the full booking? Some quotes include an attendant only for setup. For 360 booths especially, a full-time attendant is non-negotiable for safety.

    2. Insurance and venue requirements

Question 3: Do you carry liability insurance, and can you provide a certificate for my venue? Many banquet halls, hotels and corporate venues in the GTA ask for proof of insurance from every vendor. Ask us for insurance details when you book, so we can send what your venue needs.

Question 4: Have you worked at my venue before? If so, they'll know the load-in, the best spot for the booth and the venue staff. If not, ask how they'll plan for it.

    3. Equipment and backups

Question 5: What happens if something stops working? Ask whether they bring a spare printer, cables and paper, and how quickly the attendant can troubleshoot. A company that has thought about this will answer without hesitating.

Question 6: How old is the equipment, and what does it look like set up? Ask for recent photos or videos of the booth at a real event, not just product images.

    4. Design and personalization

Question 7: How does the template or overlay design work? Find out how many revisions you get, when the final design is due and whether they can match fonts, colours and non-English text. Our overlay guide shows what to ask for.

    5. Sharing and delivery

Question 8: How will guests get their photos, and how will I get all of them? Look for instant sharing by text, email or QR code, plus a gallery or USB of everything afterwards. Ask how long the gallery stays online.

    6. Timing and logistics

Question 9: When will you arrive, how long is setup and when do the booked hours start? You want the booth fully set up and tested before guests arrive. Clarify whether setup counts toward your hours, and what an extra hour costs on the night.

    7. Contracts and cancellations

Question 10: What are your deposit, payment and cancellation terms? Get the deposit amount, balance due date, date-change policy and cancellation terms in writing. LUNO's published terms are a 50% deposit to secure your date and the balance due 14 days before the event.

    8. Questions to ask yourself after the call

The answers are only half the picture. After each conversation, ask:

    • Did they reply promptly and clearly, or did you have to chase them?
    • Did they ask about your venue, guest list and timeline, or just quote a price?
    • Did they recommend what fits your event, even if it was a smaller package?
    • Would you be comfortable with this person talking to your grandparents or your CEO?

How a company communicates before you book is usually how it communicates in the week of your event, when you'll need quick answers about timing, templates and venue access.

    Red flags to watch for

    • Prices that are far below every other quote with no explanation
    • No written contract or confirmation
    • No mention of an attendant
    • Vague answers about insurance or backups
    • Only stock photos, no photos from real events

One red flag isn't a dealbreaker. Several together usually are.

Example: shortlisting three companies in an evening

Say you've found three companies that all look good online. Send each the same message: your date, venue, guest count, the booth you want and the ten questions above. Give them two days to reply. One may answer everything clearly with a written quote; another may send only a price; the third may not reply at all. That first response tells you a lot about how each company will communicate during the busy week before your event. Book a short call with the strongest reply and confirm details in writing.

When to bring in a booth company

Once you've narrowed your list to two or three companies, send each the same details: date, venue, guest count and booth type. Compare their answers to these ten questions side by side, along with a line-by-line quote. Our guide to what's included in a photo booth rental has a checklist you can use.

We're happy to answer every one of these questions. LUNO is based in Brampton and runs 360 photo booth rentals, digital booths and mirror booths across areas throughout the GTA. If your date is in peak season, read how far in advance to book before you shortlist.

    Frequently asked questions

Should I book a photo booth company that my venue recommends?

A venue's preferred vendors already know the room, which helps. Still ask the same questions you'd ask any company, and check whether you're allowed to bring in an outside vendor if you prefer.

How can I check a photo booth company's reviews?

Look at Google, social media and vendor platforms for recent reviews that mention specific events. Ask the company for examples from events similar to yours, such as a banquet hall wedding or an office party.

What if the booth breaks down during my event?

Ask about this before booking. A prepared company brings spare cables and a printer, has an attendant who can troubleshoot on the spot and tells you its policy if the booth can't be fixed.
