How Far in Advance Should You Book a Photo Booth in Ontario?

Photo booths book up on the same dates everything else does. The Saturdays that wedding venues, DJs and photographers fill first are the same Saturdays booth companies fill first, and the most popular booths, like 360 video booths, go before the rest. If you have a specific booth in mind, timing matters.

If you've just set a date and are wondering whether you're early, on time or already late to book a photo booth, here are the lead times for different events across Ontario and the GTA. For a peak-season Saturday (May to October) or a December holiday party, book your photo booth three to six months ahead; for off-season dates and weekday events, one to three months is usually enough.

    1. Know the GTA's busy seasons

    Season Why it's busy
May to October Wedding season, graduations, backyard parties
Late November to December Corporate holiday parties, family gatherings
Festival seasons Diwali, Eid, Lunar New Year and Christmas celebrations and parties, depending on the year
June Proms, graduations and year-end school events

Saturdays in these periods fill first. Fridays and Sundays have more availability, and weekdays are often wide open.

    2. Lead times by event type

    • Weddings: Book once your venue and date are confirmed, ideally six months ahead for peak-season Saturdays.
    • Sangeets, mehndis and multi-day weddings: Book all the days together so you get the same team and setup across events.
    • Corporate holiday parties: Book by early fall. December weekends go quickly.
    • Milestone birthdays and anniversaries: Two to three months is usually enough, more for a summer Saturday.
    • Kids' parties and small gatherings: A few weeks often works, especially for a digital booth.

    3. Book the 360 booth earlier

Companies typically have fewer 360 booths than digital booths, and each one needs a trained attendant. If you specifically want a 360 booth, especially on a peak date, book at the earlier end of these ranges. If your date is close and the 360 booth is taken, a digital booth may still be available.

    4. What to have ready before you inquire

The fastest, most accurate quote comes from a complete inquiry. Have these ready:

    • Event date and start and end times
    • Venue name and city (Brampton, Mississauga, Vaughan, Toronto or elsewhere)
    • Approximate guest count
    • Type of event and the vibe you want
    • Booth type you're considering, or "not sure"
    • Any venue rules you already know about, such as load-in times or insurance

    5. What happens after you book

Booking usually starts with a deposit to hold the date. In the weeks before the event, expect to:

    1. Approve your custom template or overlay design
    2. Confirm timing, booth location and venue contacts
    3. Pay the balance by the agreed date (LUNO: 14 days before the event)
    4. Share any last-minute changes to timing or guest count

Getting the design finalized early is the easiest way to avoid a last-minute rush.

    6. If your date is close

Don't assume you've missed out. Call or message the company directly, mention your date first and be flexible on booth type or hours. Weeknight and Sunday events have the best odds at short notice.

At short notice, keep the request simple. A standard template with your names and date can be designed quickly, while a fully custom backdrop may not be ready in time. If the booth you wanted is taken, ask what is free on your date rather than starting your search over.

    7. Plan for changes

Life happens. Before paying a deposit, check what happens if your date, venue or guest count changes, and whether the deposit can be moved to a new date. Our guide to photo booth package contents lists what to get in writing.

    8. Line it up with your other vendors

Your booth doesn't work in isolation. Once it's booked, connect the booth company with your venue coordinator, DJ and planner so everyone knows:

    • Where the booth goes on the floor plan
    • When the booth team loads in, relative to décor, catering and the DJ
    • Who the day-of contact is if timing shifts
    • Whether the DJ will announce the booth after dinner, which reliably fills the line

Sharing your run sheet early saves a dozen messages in the final week. It also means the booth is open at the right moment, not still being tested while your guests finish dessert.

Example: booking for a Saturday in late October

Say you've just confirmed a Saturday reception in late October, around four months away, and it's also close to Diwali. That's peak demand on two fronts. Send your inquiry the same week you confirm the venue, with your date, venue, guest count and booth type. If you want a 360 booth and it's taken, ask whether a digital or mirror booth is free, or whether your Friday welcome dinner could have the 360 instead. Holding the date with a deposit now beats hoping it's still free next month.

When to bring in a booth company

As soon as your date and venue are set, reach out. You can always adjust the details later, but you can't get a booked Saturday back.

    Frequently asked questions

Can I book a photo booth a week before my event?

Sometimes. Short-notice bookings are possible when a booth and attendant are free, especially on weekdays and outside peak season. Contact the company directly rather than waiting for an online form reply.

Do I need my venue confirmed before booking a photo booth?

It helps, because space, power and load-in rules affect what booth fits. If your venue isn't final, you can usually hold your date and confirm the venue details later. Ask about the company's terms for venue changes.

What deposit is needed to hold a photo booth date?

Most companies take a deposit to hold the date, with the balance due before the event. LUNO takes a 50% deposit to secure your date, with the balance due 14 days before the event.
