Kids' birthday parties in the GTA range from a few friends at the park to a hundred relatives in a banquet hall. Whatever the size, the same things tend to go wrong: the bouncy castle date is gone, the RSVPs don't come in, the cake candles are still in the drawer and nobody planned where the shoes go. A simple checklist, worked through over a few weeks, keeps the party fun for you as well as the kids.

If you're planning your child's birthday party and want to avoid the last-minute scramble, here's a checklist broken into four stages: six weeks out, two weeks out, the week of and the day itself. It works for backyard parties in Brampton, condo parties in Toronto and hall parties in Vaughan and Mississauga alike. To plan a kids' birthday party, book the venue and rentals six weeks ahead, send invitations three to four weeks out, confirm numbers and food the week before and set up early on the day with a clear plan for activities, food and cleanup.

    1. Six weeks out: the big decisions

    • Set the date and time, avoiding long weekends if your guests travel
    • Decide the guest list and rough headcount
    • Choose the venue: home, park, community centre or hall
    • Set a budget (see our kids' party budget guide)
    • Pick a theme with your child
    • Book key rentals: bouncy castle, snack machines, balloon décor, photo booth

Summer weekends book first, so lock in rentals as soon as the date is set.

The venue choice shapes everything else. A backyard party is relaxed and flexible but depends on the weather; a community centre room or hall is weatherproof but has set hours and rules. If you're leaning toward a backyard party in summer, book a rain plan at the same time, whether that's a tent, the garage or a relative's basement.

    2. Four weeks out: invitations and plans

    • Design and send invitations (see our digital invitation design guide)
    • Plan activities and a rough schedule
    • Order or plan the cake
    • Decide on food and drinks
    • Plan favours or a favour alternative

For park parties, check whether you need a permit and whether power is available.

    3. Two weeks out: details

    • Chase RSVPs and confirm numbers
    • Ask about allergies and dietary needs
    • Buy decorations, tableware and favours
    • Plan the party layout: castle, food, gifts, seating
    • Recruit helpers for supervision, food and cleanup

If you're renting a castle, measure the yard and confirm power. See how much space a bouncy castle needs.

    4. The week of: confirm everything

    • Confirm delivery times with rental companies
    • Confirm the cake pickup or delivery
    • Shop for food and drinks
    • Check the weather and finalize a rain plan
    • Charge cameras and phones
    • Prepare a playlist

Send a short reminder message to guests with the address, start time and any weather notes.

If your party falls in a busy season, such as a Saturday in June, double-check every booking in writing. A short message to each vendor confirming the date, address and arrival time takes a few minutes and catches mistakes while there's still time to fix them.

    5. The day before

    • Clean and clear the party area
    • Mark sprinkler heads and turn the system off
    • Set up tables and chairs
    • Prepare food that can be made ahead
    • Pack a party kit: candles, lighter, knife, napkins, wipes, garbage bags, first aid kit, tape and scissors

    6. On the day: setup

    • Be home for rental deliveries
    • Show the team where the castle and machines go, and where the outlets are
    • Set up food, drinks and the cake table
    • Designate a spot for shoes, gifts and coats
    • Brief helpers on their jobs

Give each helper one clear job: one supervises the castle, one handles food, one greets arrivals and takes coats and gifts. When everyone knows their role, you're free to spend time with your child and your guests rather than running between tasks all afternoon.

    7. During the party

Keep an adult supervising the bouncy castle at all times, rotate helpers so everyone gets a break and keep the schedule loose. Plan cake for about two-thirds of the way through the party, when kids are still happy but starting to tire. Take a few photos with family before the kids get messy.

    8. After the party

    • Clear the castle area before pickup
    • Sort gifts and note who gave what for thank-you messages
    • Bag up garbage and recycling
    • Send a thank-you message, with a photo or gallery link if you have one

Finally, take a moment to enjoy it. The details matter, but the photos you'll look back on are the ones of your child laughing with friends and family. If something small goes wrong, the kids almost never notice.

Example: a 6th birthday on a summer Saturday

Say your son's 6th birthday falls on a Saturday in July. Six weeks out, book the castle and the community centre room as a rain backup. Four weeks out, send invitations with a clear end time and an allergy question. Two weeks out, recruit two parents to share castle supervision. The week of, confirm the delivery time and check the forecast. On the day, pack the party kit with candles and a lighter, which is the item most often forgotten.

Candles and a lighter, followed closely by garbage bags, napkins and a plan for where the gifts go.
