Brampton Banquet Halls: What to Check Before Booking a Photo Booth

Banquet halls host a large share of Brampton's weddings, receptions, anniversaries and milestone birthdays, particularly in the east end around Airport Road, Steeles Avenue, Goreway Drive and Highway 50. They're built for big celebrations, but each hall runs its own way. Vendor rules, load-in windows and floor plans differ from hall to hall, and a photo booth that arrives without knowing them can lose valuable setup time.

If your Brampton event is at a banquet hall, from Bramalea to Brampton East, here's what to confirm with the hall before you book a photo booth and what to pass on to your booth company afterwards. It works for any banquet hall, whether you're in Bramalea, Brampton East or downtown. Before booking a photo booth for a Brampton banquet hall, confirm the hall's outside vendor policy, insurance requirements, load-in time, power near the booth spot and where the booth sits on the floor plan.

    1. Outside vendor policy

Start here, because it decides everything else.

    • Does the hall allow outside photo booth companies?
    • Is there a preferred vendor list, and is it required or optional?
    • Is there an outside vendor fee? (Ask the hall; don't assume)
    • Does the vendor need to register with the hall in advance?

If the hall has its own booth, compare it fairly with outside options on attendant, template, prints and sharing.

    2. Insurance and paperwork

Many halls ask every vendor for a certificate of insurance naming the hall. Ask your coordinator:

    • What coverage the hall needs and in what format
    • The deadline for submitting it
    • Whether the certificate must name your event date

Pass this to your booth company as soon as you book. Late paperwork is one of the most common reasons vendors get held at the door.

    3. Load-in and setup window

Banquet halls often have several rooms and events on the same day, so access is scheduled. Confirm:

    • The earliest time vendors can enter
    • Which entrance and loading area to use
    • Whether there's an elevator or stairs to the room
    • Whether décor or another event will be setting up in the room at the same time
    • When everything must be out at the end of the night

Most booths need time for setup and testing before guests arrive. A 360 booth with a backdrop needs more. If your décor team is building a stage and a dance floor at the same time, ask the hall to stagger the arrivals.

    4. The floor plan

Ask for the hall's floor plan with your table layout, and mark:

    • The dance floor, stage and head table
    • The DJ booth and speakers
    • The bar and buffet lines
    • Fire exits and service doors

Then pick a booth spot that's visible, near the action and clear of service paths. Beside the dance floor is usually best. Avoid placing the booth where the line will block the bar, the washrooms or the kitchen doors.

    5. Power and lighting

    • Is there an outlet within reach of the booth spot?
    • Is it on a circuit shared with the DJ or catering equipment?
    • Will the hall dim the lights for dancing, and when?

Banquet hall lighting changes through the night. Dimmed lights and coloured uplighting look great on the dance floor and can be lovely in booth photos too, but tell your booth company the plan so they can set their lighting accordingly.

    6. Ceiling, chandeliers and décor

Brampton halls are often richly decorated, with chandeliers, draped ceilings and floral installations. For a 360 booth especially, check that nothing hangs low over the booth spot, and that the backdrop won't clash with or block the hall's own décor. If your decorator is building a stage backdrop, ask whether the booth can share the theme.

    7. Timing on the night

Halls run on a schedule: grand entrance, dinner service, speeches, cake, dancing. Agree with the hall and your planner on:

    • When the booth opens (often right after dinner service)
    • Whether it pauses during speeches or performances
    • When last call for the booth is, ahead of the hall's closing time

Share the final run sheet with the booth company a week before.

Also give the booth team the name and number of the hall's on-site manager for the night, not just the sales coordinator you booked with. The person who answers the phone at 6 p.m. on a Saturday is the one who can open a loading door or find a spare outlet.

Example: one email to the hall, one to the booth company

Say you've booked a hall in Brampton's east end for your reception. Send the hall one email with five questions: do you allow outside booth vendors, do you need an insurance certificate and by when, what time can vendors load in and through which door, which outlet is nearest the dance floor, and can I have the floor plan? When the reply arrives, forward it to the booth company in full. Two emails now save a dozen phone calls in the week of the wedding.

When to bring in a booth company

Once the hall has confirmed its vendor policy and given you a floor plan, you're ready to book. Send both to your booth company with your date and guest count.

    Frequently asked questions

Do Brampton banquet halls allow outside photo booth companies?

Many do, but policies vary. Some halls have preferred vendors or charge an outside vendor fee. Ask your hall coordinator directly and get the answer in writing before booking a booth.

Will my banquet hall need a certificate of insurance from the booth company?

Many halls require proof of liability insurance from every vendor. Ask your hall what it needs and by when, then pass that to your booth company. Ask us for insurance details when you book, so we can send what your venue needs.

Where should the photo booth go in a banquet hall?

Usually beside the dance floor or near the bar, in clear view of guests but out of service paths and fire exits. Mark the spot on the hall's floor plan and share it with your booth company and decorator.
