Weddings in Vaughan tend to be big, joyful and beautifully produced. Woodbridge's banquet halls host receptions with long guest lists, multi-course dinners and dance floors that stay full until late. Kleinburg's village and surrounding estates offer a quieter, garden-party elegance. And many couples from Maple, Vellore and Thornhill combine a ceremony at a church, synagogue or temple with a reception at a hall along Highway 7.

A photo booth fits all of these, but the right booth and the right plan depend on your venue and your crowd. If you're planning a Vaughan wedding, here's how to choose both. For a Vaughan wedding, choose a mirror or 360 booth for a large hall reception and a compact digital booth for estate or garden venues, match the template to your invitation, add a guest book and open the booth after dinner.

    1. Booth choice by venue

    Venue Recommended booth
Large Woodbridge or Concord banquet hall 360 booth beside the dance floor, or a mirror booth
Hotel ballroom near the VMC Mirror or 360 booth
Kleinburg estate or garden venue Digital booth under cover
    Restaurant reception Digital booth

For big halls, many couples run two booths: a 360 for video and a mirror booth for prints. Two booths also split the line, so guests spend more time dancing and less time waiting. If you're weighing the two, read our 360 photo booth rental in Vaughan guide.

    2. Think about your guests

Large Vaughan weddings often bring three or four generations together. Grandparents tend to prefer a booth that prints and doesn't involve stepping onto a platform; cousins and friends head straight for the 360. If your guest list spans every age, a print-capable booth plus a 360 gives everyone a keepsake.

Large guest lists also change how long the booth should run. With several hundred guests, a short window means a long line and some guests leaving without a photo. Consider an extra hour, or a second booth, rather than squeezing everyone into the hour after dinner. Our guide on how many hours of photo booth you need has a simple way to work it out.

    3. Templates that match your wedding

Pull your template from your invitation: the same fonts, colours and monogram. Add your names and date, and consider a line in Italian, Portuguese, Hebrew, Tagalog or another language your families share. Keep text large enough to read on a print and a phone screen, and have someone proofread every name.

    4. Lighting at Vaughan receptions

Vaughan halls often feature dramatic lighting: chandeliers, LED walls and coloured dance lights. These look wonderful in booth photos, but strong coloured light can tint skin and white gowns. Ask your booth company to test the light at the booth spot, and let them know when the hall switches to dance lighting.

    5. Add a guest book

A photo guest book gives you an album of every guest's photo with a handwritten wish. An audio guest book captures voice messages, which are often treasured when grandparents leave blessings in their first language. Both pair well with large family weddings. See audio guest book vs photo guest book.

Place the guest book where guests naturally pause, such as near the booth exit or by the bar, and ask a cousin or the attendant to remind people. A full album depends on reminders.

    6. Timing around the reception

Vaughan receptions often include cocktails, a grand entrance, several courses, speeches, a first dance, cake cutting and late-night food. A good booth plan:

    • Open during cocktails if guests are mingling
    • Pause during dinner and speeches
    • Reopen for open dancing
    • Run through the first two or three hours of dancing

Share your run sheet with the booth company and the hall's coordinator.

    7. Estate and garden weddings

For a wedding at a Kleinburg estate or garden venue, the booth needs a level surface, power and cover in case of rain or strong sun. Evening light suits booth photos far better than midday sun. Our Kleinburg and Maple outdoor guide has more detail.

    8. Coordinate with your other vendors

Tell your photographer, videographer, decorator and DJ where the booth will be. The decorator can match the backdrop to the room, the photographer can keep the booth lights out of their main angles and the DJ can announce the booth after dinner, which reliably fills the line.

    Example: a 350-guest Woodbridge reception

Say your reception is in a large Woodbridge banquet hall with 350 guests, a multi-course dinner and a late night of dancing. One booth would mean a long line, so book two: a 360 beside the dance floor and a mirror booth with prints near the entrance for the grandparents and aunts. Add an audio guest book for blessings in Italian. Ask the attendants to pause during speeches and the cake cutting, and check the booth lighting once the hall switches to dance mode.

When to bring in a booth company

Book as soon as your hall and date are confirmed. Saturdays in wedding season fill early in Vaughan, and 360 and mirror booths go first.

    Frequently asked questions

Can we have both a 360 booth and a photo booth at our Vaughan wedding?

Yes, if the hall has the space. Many large receptions run a 360 booth for video and a digital or mirror booth for prints. Each needs its own spot, power and attendant.

When does the photo booth usually open at a Vaughan reception?

Most couples open it after dinner and run it through the first hours of dancing. Some also open it during cocktails, then pause for dinner and speeches.

Do Vaughan banquet halls allow outside photo booth companies?

Many do, but policies differ. Some halls have preferred vendors or require vendor insurance. Ask your hall early and share their requirements with your booth company.
